Before asking for a freight price, request a packing plan for the actual equipment package. A machine’s assembled dimensions may be different from the dimensions of its shipping packages. Clear package information helps the supplier, forwarder and receiving team discuss the same shipment.
Ask for each package, not just a total
Request the number of packages, external length, width and height, gross weight and an identifying mark for every package. Include molds, loose accessories and separately shipped equipment. Ask whether the information is estimated or final.
Do not convert a machine’s net weight into shipment weight without allowing the supplier to specify packing. Keep updated packing information with the freight quotation so a later change is not missed.
Identify transport disassembly
Ask which parts will be removed for transport and how they will be identified. Obtain the manufacturer’s reassembly instructions and agree who is responsible for the work at destination. Do not assume a partially dismantled machine is immediately ready to operate after unloading.
Keep photos showing the shipment configuration and labeled loose items. These can help the receiving team check contents without confusing an intentionally removed component with a missing part.
Make handling information explicit
Have the supplier provide approved lifting and handling information for the packages and equipment. The destination team should arrange suitable unloading equipment and competent personnel using actual weights and site conditions.
This guide does not specify sling arrangements, lifting points or forklift capacity. Those decisions require the manufacturer’s instructions and a qualified handling plan. Never infer an approved lifting point from an attractive machine photograph.
Clarify the delivery boundary
Identify the agreed delivery rule, version and named place or port. Ask which party arranges each stage, which charges are included and which documents will be supplied. ICC’s Incoterms information provides the general framework, but the quotation should state the transaction-specific details.
Treat a current freight estimate as tied to its route, packages, terms and validity period. Do not reuse a shipping price quoted for a different country or earlier shipment as a promise to a new buyer.
Prepare a receiving brief before dispatch
| Document | What the receiver needs |
|---|---|
| Packing list | Package IDs, sizes, weights and contents |
| Shipment photographs | Package condition and identification |
| Handling instructions | Approved lifting and unloading requirements |
| Reassembly documents | Removed parts and responsible installer |
| Delivery terms | Named handover point and remaining tasks |
Send the same brief to the supplier, forwarder and receiving team. The aim is not merely to obtain a low freight figure, but to make sure the equipment package and the practical arrival arrangements are understood before dispatch.
