Receiving a New Block Machine: Checks Before Installation Begins

Arrival at the factory gate is not the same as readiness for production. Before installation begins, use a receiving checklist to confirm what was delivered, its visible condition and the documents needed for the next stage. Keep the process connected to the final order and packing list.

Prepare the receiving team before arrival

Share the package information and manufacturer’s handling instructions with the people responsible for unloading. Arrange suitable equipment and qualified personnel based on actual loads and site conditions. Do not improvise lifting points or handling methods when the truck arrives.

Confirm a clear receiving and storage area. Keep transport handling separate from the decision to energize or test the machine. Those activities require their own authorized procedures and readiness checks.

Record package identity and visible condition

Photograph package marks and visible damage before opening where it is safe to do so. Match the package count against the delivery documents and record any discrepancy. Follow the agreed reporting procedure and any applicable carrier requirements promptly.

Avoid diagnosing concealed mechanical damage from a single photograph. Describe the observation clearly, preserve the packaging and relevant records when needed, and ask the responsible supplier or inspector what checks should follow.

Check contents against a defined list

Match the machine, molds, loose accessories and documentation to the packing list. Use identifiers rather than only generic descriptions such as “motor” or “tool.” Mark items delivered separately and items intentionally dismantled for transport.

A missing-item report should state the package ID, order reference and expected component. Do not treat an unfamiliar loose part as unnecessary and discard it before the supplier identifies its purpose.

Review documents before installation

Confirm that the operating manual, installation information, electrical documents and relevant equipment identifiers correspond to the supplied configuration. Ask about any transport restraints and the manufacturer’s approved procedure for dealing with them.

HSE’s maintenance guidance emphasizes planned work by competent people. Apply that principle when arranging installation and inspection, together with local requirements. Receiving an item in apparently good condition does not establish that it is safe to connect or start.

Close the receiving record with status labels

Item Status to record
Package count Received, missing or separately scheduled
Visible condition No issue observed or specific damage noted
Contents Matched to packing list or clarification required
Documents Correct revision received or outstanding
Installation readiness Authorized to proceed or on hold

Keep unresolved issues visible rather than signing a general “everything complete” statement prematurely. Once the receiving record is closed, the installation team can work from a clear inventory and a defined list of remaining actions.
